What is included in the hosting program?
- Airport pick up and accommodation in Nairobi on arrival and during the 3-day Expo.
- 5 day Famtrips with accommodation and transfers (ground and air).
- Admission to the Magical Kenya Travel Expo on all 3 days.
- Transfers in shared coaches between from hotels, event venue and official events.
- Access to the online diary system for pre-scheduled appointments with exhibitors.
- Lunch & refreshments at Expo venue as part of the daily program.
- 50% international flight reimbursement (up to an agreed maximum amount per region) provided all hosting criteria is met.

Is there a registration fee for the hosting program?
No, there are no charges applicable to sign up for the hosted buyers program.

What is expected of hosted buyers at Magical Kenya Travel Expo 2025?
- Attend meetings: Over the 3 days, hosted buyers will engage in up to 30 prescheduled appointments with exhibitors from across Africa to foster cooperation and explore business opportunities. You will be able to vet these meetings before the event by requesting for, accepting and declining meeting requests based on your assessment and interests.
- Attend networking events and seminars as detailed in your Hosted Buyer schedule

Who will you meet at Magical Kenya Travel Expo 2025?
The exhibitor profile includes:
• Accommodation (Hotels, Lodges, Resorts, Camps)
• Accommodation Exclusive (Villas, Private Homes)
• Affiliated Services (Insurance, Technology, Media Publications)
• Destination Management Company (DMC) - Inbound to Africa
• Experiences (Activity provider, Day Tour, Cultural Tour)
• Representation Company (limited to maximum 3 clients)
• Tour Operator (Ground Handler & Safari Providers)
• Tourism Board & Tourism Organizations
• Transport - Aviation & Transfers
A full list of exhibitors will be available online when the meeting schedules open.

How do the flight reimbursements work?
• You are required to pay upfront for your international economy flight ticket to Nairobi.
• The Magical Kenya Travel Expo 2025 travel manager will advise on the upper limit of the reimbursable amount for your region.
• Reimbursements are approved on receipt of:
a) A copy of your meeting schedule signed by the suppliers you met.
b) A copy of your air ticket that clearly shows the cost.
c) Submit a company letterhead with full banking details, including any international SWIFT code or reference to allow the refund against international economy flight.
• Should you wish to travel business class, you will only be reimbursed up to the upper limit reimbursable for your region (up to the agreed maximum amount for your region).

Can I choose my Famtrip itinerary?
• Yes, hosted buyers will be given the opportunity to select an itinerary of their choice in line with their interests. Famtrip Itineraries will be communicated by the travel manager through email travel@mkte.co.ke

Which official events do I need to attend?
• Hosted Buyers are required to attend certain official events as part of the hosting program.
• A detailed program will be shared on arrival.

Are airport transfers included?
Airport transfers will be provided on arrival in Nairobi, on departure from Nairobi and within the period of the event dates.

Who will meet me on arrival?
Transfers will be arranged from JKIA (Jomo Kenyatta International Airport) to the official hotels.
Please look for our airport reception team branded with Magical Kenya Travel Expo 2025 banner after luggage collection at the airport who will receive you and facilitate your transfer to the hotel.

Is my accommodation included for the duration of my time in Kenya?
Official accommodation is from check-in 26th September – Check out 04 October
Should you wish to arrive earlier or extend your stay, any additional nights and any other expenses will be borne by you and would need to be organized directly with the hotel.

Where will I stay in Nairobi?
Your city hotel will be confirmed closer to the show and you will receive details via email.

Are all of my meals included?
- During your official stay in Nairobi & Famtrips, all your meals will be catered for.
- Lunch will be provided for you daily at the event.

How will I get to / from the event?
Transfers in shared coaches will be provided to the expo venue and official events.

When will I receive my travel documents?
Travel documents will be issued closer to the event. No individual hotel or transfer vouchers are necessary or issued as your details will be part of our Magical Kenya Travel Expo 2025 Hosted Buyer group. For all documents / confirmations for your selected fam trips, please liaise directly with the travel manager travel@mkte.co.ke

Do I need a visa?
All travelers are required to apply for an Electronic Travel Authority(ETA) prior to travelling to Kenya. For more information and for applications please visit https://evisa.go.ke/

Do I need to carry travel insurance?
Yes, as part of our terms and conditions for the hosting program, we ask that you take out travel insurance cover and provide proof of cover before travel.

Do I need any inoculations?
All travelers entering Kenya require a yellow fever inoculation. Please obtain this from your local travel clinic or doctor. Please travel with your yellow fever certificate as you may be asked to present this at the airport.

Do I need to take malaria medication?
Parts of Kenya have greater malaria risk than others. Please consult your travel clinic or doctor for guidance. Please check with your fam trip coordinator what is required for your trip.

Do I need to carry money with me?
Most fam trips are inclusive when it comes to food and a soft drink but you’ll still need money for certain activities such as local purchases, and tipping, if you’re so inclined.

Do I need special luggage?
If you select a flying safari, or any transport on your itinerary that involves a local flight we recommend travelling with a smaller soft bag for your fam trip. The smaller aircrafts that are used for domestic flights in Kenya have a strict (soft bag) luggage allowance of between 10-15kgs.
The domestic airports do not have traditional luggage storage facilities. We suggest you make arrangements with your Nairobi hotel to keep your suitcase.

What is excluded from the hosting program?
- Private transfers – transfers are scheduled to and from the Expo and official functions. Should you miss the official transfer you will be required to arrange your transport at your own cost.
- Food and beverages which are not included as part of the program and at scheduled functions (dietary requirements can be presented to your Travel Manager in advance)
- Flight changes or upgrades
- Hotel changes or upgrades
- Additional accommodation costs due to early arrivals or late departure or having a partner in the room.
- Personal extras like laundry, activities or beverages
- Tips and gratuities
- Travel & medical insurance or expenses.
- Visa fees and other charges.
- Purchase of medications
- Additional charges incurred due to missed flights or time changes
- Telephone, Minibar bills and / or any personal travel related costs.

ADDITIONAL INFORMATION TO NOTE:
- Flights - Magical Kenya Travel Expo will not take responsibility for Buyers missing flights, transfers or scheduled functions and any additional costs incurred are for your own account and may also result in the partial refund not being paid.
- Travel Insurance - Travel Insurance is compulsory and is your responsibility to ensure that adequate insurance is taken out for the duration of your travel to Kenya. Insurance should be in effect from the day of departure up to and including the day you arrive back in your country of origin.
- The organizers and all MKTE third parties will not be liable to assist with any expenses or evacuation out of the country should this situation arise. It shall not be obligatory upon MKTE’s travel team to effect insurance for MKTE participants nor to obtain a separate cover for any risks so excluded. Should the insurers dispute their liability for any reason, MKTE participants will have recourse against the insurers only. Once your insurance has been confirmed and paid for, please share a copy of your insurance documentation with our travel team.
- Please note that various credit card companies offer limited levels of travel insurance, which may not be sufficient.

- Accommodation - Upon check-out of the respective hotels, it is your responsibility to settle any outstanding amounts which are not included as part of your hosted buyer package. Please note the hosting does not include certain expenses of personal nature as already specified above.
- Personal Expenses for your account include but are not limited to:
a. Room service
b. Telephone bills
c. Internet services
d. Laundry services
e. Mini bars and other cash bar beverages
f. Paid TV - Transfers - All domestic transfers within your country of origin in order to access your airport of departure will be at your own cost. All transfers other than those specified as part of the program whilst in Kenya will be at your own cost. All buyers will be notified on the program as to which functions require transfers and from which departure points.
- Attendance - Magical Kenya Travel Expo is responsible for coordination of the Hosted Buyer Program and any queries should be directed to the Hosted Buyer coordinators or show organizers through buyer@mkte.co.ke
- As part of the Hosted Buyer status, you are consenting to your contact details, being available to the Exhibitors during and after the Exhibition in order to set meetings during the Expo and follow up after the Exhibition. This also applies to use of your photographs for marketing purposes.
